WHAT YOU CAN EXPECT AS AN ADMINISTRATIVE ASSISTANT
You’ll play a crucial role in an office work environment, helping ensure that the office and its personnel run efficiently and effectively. Your duties can include a wide range of administrative and clerical tasks, such as:
- Scheduling appointments, organizing meetings and conferences
- Conducting research, compiling reports, and preparing documents
- Maintaining accurate records and databases, and ensuring data confidentiality
- Assist in budget tracking and expense management
- Acting as the first point of personal contact for clients, visitors, and employees
- Answering and directing phone calls
A SAMPLE OF WHAT YOU’LL BE STUDYING
Here is a project from the Office Procedure class: Your boss has put you in charge of the annual sales meeting. You will be making final decisions on all aspects of the meeting. There will be 12 sales reps attending. Your boss has arranged for a guest speaker to present a 2-hour session on “Practical Selling Techniques.” She also wants to talk about last quarter’s sales figures, new sales routes, and new catalogs to be used.
Write a paper that explains how you would put this meeting together. In this paper you need to address:
- The roles the individuals will have at the meeting
- The arrangements including where the meeting will be held and how it will be arranged
- How you determined the agenda
- What type of arrangements for food you will make
- What types of supplies you will have available
- What action steps will you need to complete once the meeting is finished
In addition to the paper explaining how you would organize the meeting, include samples of any communications you would send to key participants and a copy of the agenda.
